Introduction

Brentford FC Community Sports Trust (charity number 1112784) are committed to protecting and respecting your privacy.

References to “we”, “us” and “our” in this policy are all references to Brentford FC CST.

We aim to be clear when we collect your data and not do anything you wouldn’t reasonably expect.

By April 2018, we will be moving to an ‘opt-in only’ communication policy. This means that we will only send marketing communications to those that have explicitly stated that they are happy for us to do so via their preferred channel(s) (email, SMS, phone or post).

Our marketing communications include information about our new projects, case studies and opportunities to get involved with the Trust. If you would like to receive such communications but have not opted in please contact us on 0208 8326 7030 or at communications@brentfordfccst.com

Where we collect information about you from:

When you give it to us DIRECTLY:

You may give us your information in order to sign up for one of our projects, subscribe to our e-newsletter, buy one of our soccer schools or football development programmes or, to generally communicate with us.

When you give it to us INDIRECTLY:

Your information may be shared with us by partner organisations. These independent third parties will only do so when you have indicated that you wish to be contacted by Brentford FC CST and with your consent.

We also collect information about you from Brentford FC for community matchday tickets. We will only contact you about offer events and projects if you have provided us with your explicit consent.

You should check their Privacy Policy when you provide your information to understand fully how they will process your data.

Social Media:

When you use social media platforms, and if you have opted in to receive our marketing, you may receive advertising that is specifically tailored to your needs. This is known as ‘targeted advertising’ and will relate Brentford FC CST projects only. You will not receive any other types of targeted advertising because we will not pass your information on to any other social media groups. If you want to stop receiving notifications about Brentford FC CST services via social media platforms, please visit the security settings within the specific platform to amend your settings.

What Personal Data we collect and how we use it:

The type and quantity of information we collect and how we use it depends on why you are providing it.

If you’re a participant on our project:

If you attend one of our coaching, education, health or mentoring projects, you will usually provide:>

  • Your Name;
  • address;
  • phone Number;
  • your e-mail address;
  • date of Birth.

We may also request personal and sensitive data, this includes:

  • Your ethnicity;
  • any criminal convictions;
  • your religion;
  • if you have a disability;
  • any medical conditions.

We will mainly use this data for performance and monitoring purposes. We may be required to pass on this data to our funding providers and partner organisations; this will only be done for performance and monitoring purposes. These partner organisations will not contact you unless you provide you explicit consent on our data collection documents.

We are committed to protecting your data and have a data sharing agreement with our partner organisations. We will only share data with these organisations in relation to the project/event you’re participating in.

For safeguarding purposes, we may be required to pass your details to the relevant statutory authority.

For the prevention or detection of crime we may be required to pass your details to the relevant statutory authority.

If you subscribed to our e-newsletter:

You may have subscribed to our e-newsletter on our website; we may send you stories about the Trust, the opportunity to sign up to our Soccer Schools or other projects. You can opt out from receiving this e-newsletter through the unsubscribe button or contacting us on 0208 8326 7030 or e-mailing communications@brentfordfccst.com.

If you signed up to one of our events on EventBrite:

You may have signed up for one of our events on Eventbrite. We will mainly use this data for:

  • Performance and monitoring purposes.
  • Contacting you about other community events and projects.
  • Recording how you would like to be contacted.

We will only contact you about other offer events and opportunities if you have given your explicit consent and ‘opted in’ to receiving our marketing and communications.

If you shared your story:

We have developed case studies to demonstrate the impact we’re making in local communities. These case studies might include personal and sensitive data relating to your ethnicity, religion, gender, if you have disability or any criminal convictions.

If we have the explicit and informed consent of the individuals, or their parent or guardian if they are under 18, this information may be made public through press releases, website content, social media and our impact reports.

If you signed up for one of our Community Matchdays:

You may have signed up for one of our Community Matchday offers. This data is collected by the Trust and Brentford FC. By May 2018, you will only receive marketing and offers from Brentford FC if you have given explicit and informed consent.

Children’s data

We collect and manage information from children, and aim to manage it in a way which is appropriate to the age of the child. We will mainly collect information on children who attend one of our projects or Soccer Schools, health, disability, sports and education projects.

The information we include may include personal and sensitive data and is used for monitoring and performance purposes. For safeguarding purposes, we may be be required to pass your details to the relevant statutory authority.

We will always seek consent from a parent or guardian before collecting information about children.

How we keep your data and who has access:

We ensure that there are appropriate technical controls in place to protect your personal details.

We undertake regular reviews of who has access to information that we hold to ensure that your information is only accessible by appropriately trained staff, volunteers and contractors.

We may need to disclose your details, if required, to the police, regulatory bodies or legal advisors.

We will only ever share your data in other circumstances if we have your explicit and informed consent.

You have the right to know what we know about you, make changes or ask us to stop using your data.

You have a right to ask us to stop processing your personal data, and if it’s not necessary for the purpose you provided it to us for we will remove all your data from our records. You have the right to rectify or change your data at any time; you can do this by e-mailing communications@brentfordfccst.com or contacting us on 0844 247 1189.

You also have the right to opt-out of receiving any marketing from the Trust. You can do this by emailing communications@brentfordfccst.com or contacting us on 0844 247 1889.

You have a right to ask for a copy of the information we hold about you. If there are any discrepancies in the information we provide, please let us know and we will correct them.

If you want to access your information, send a description of the information you want to see and proof of your identity by post to Communications and Marketing Team, Brentford FC Community Sports Trust, Half-Acre House, 37 Half Acre, Brentford, Middlesex, TW8 8BH.

We do not accept these requests by email so we can ensure that we only provide personal data to the right person.
